Cleaning Business Cancellation Policy Template

A starting framework for a clear cleaning cancellation policy, with editable clauses, operational steps, and items to review with a qualified local adviser.

A cancellation policy should help customers understand how to change a booking and help your team respond consistently. The framework below is an educational drafting aid, not a ready-to-enforce contract. Have the final wording and any fees reviewed for your location, customers, and business model before using it.

Decide the operating rules first

Specify how customers can request a cancellation, which contact hours apply, how notice is measured, and who can approve an exception. Consider rescheduling, no access, company-initiated changes, emergencies, and recurring appointments. A policy is difficult to explain if the team has not agreed on these situations.

Do not copy a fee from another business or assume it is enforceable. Any charge, authorization, notice requirement, or consumer-rights wording needs appropriate local review. This page does not establish legal validity.

Draft the customer-facing wording

Cancellation and rescheduling

To request a change to your cleaning appointment, contact us through [working contact method]. Our contact hours are [hours and time zone]. We ask for [reviewed notice period] before [defined appointment time or arrival window].

[Insert locally reviewed wording explaining whether any fee applies, the exact amount or calculation, the circumstances, and any required authorization.]

Access and exceptional circumstances
If we cannot access the property, [reviewed process]. If an emergency affects your booking, please contact [method] so [authorized role] can review the situation.

Changes made by us
If we need to change an appointment, we will contact you through [method] and discuss [reviewed options].

Replace every placeholder. Remove any clause you have not decided and reviewed. Never present this unfinished example as your accepted service terms.

Explain the policy before a booking

Make the final policy easy to find before the customer commits. Include the version or effective date and use a process appropriate to your booking channel for recording acknowledgement. Do not introduce an unexpected fee only after a customer cancels.

Keep the website, estimate, confirmation, and staff instructions consistent. Ask a reader unfamiliar with the business to explain the policy back to you; confusing timing language should be rewritten.

Give the team an operational checklist

  1. Record the original booking and time the request arrived.
  2. Check the policy version associated with that booking.
  3. Confirm what the customer is requesting.
  4. Route any exception or disputed charge to the authorized person.
  5. Update the calendar only after the next step is agreed.
  6. Send an accurate written confirmation.

A support person should not invent fees or make exceptions based on guesswork. Keep sensitive payment information out of general communication notes.

Review the policy when your process changes

Revisit wording when your booking method, service type, operating hours, or local requirements change. Review recurring points of confusion and whether the team can apply the process consistently. Seek qualified local legal advice about enforceability, customer rights, payment authorization, and any fee provisions.

Document the internal steps separately using the SOP structure. The customer needs clear terms; the team also needs instructions for carrying them out.
