How to Create SOPs for a Cleaning Business

Write cleaning business SOPs people can follow, with a simple template, a scheduling example, escalation rules, and an update process.

A standard operating procedure explains how a recurring task should be completed. It does not need to be a long manual. A useful SOP lets another person complete the common case, recognize an exception, and show that the work is finished.

Choose one recurring workflow

Start with a task that causes repeated questions or missed steps: responding to inquiries, confirming tomorrow’s appointments, handing over a new customer, or following up on an estimate. Avoid writing the entire business manual at once.

Watch the task happen and record the actual sequence. If two team members do it differently, agree on the expected outcome before documenting a preferred approach. An SOP should describe a workable process, not an ideal process nobody can carry out.

Use this SOP structure

Name: A specific task and outcome
Owner: Role responsible for keeping it current
Trigger: When the task starts
Inputs: Information and access required
Steps: Numbered actions in order
Exceptions: When to stop and ask
Complete when: Evidence that the task is finished
Last reviewed: Date and reviewer

Use direct verbs such as check, record, confirm, and assign. Replace “deal with problems” with the specific problems and the person authorized to resolve them.

Example: Confirm tomorrow’s bookings

  1. Open the shared schedule and select the next service day.
  2. Check each booking against assigned crew capacity and estimated duration.
  3. Flag missing access details or unapproved scope changes.
  4. Send the approved confirmation through the customer’s chosen channel.
  5. Record the confirmation status and any reply.
  6. Send unresolved scheduling conflicts to the designated manager.

Complete when: every appointment has a confirmation status and every unresolved issue has an owner. Do not: move a crew, promise a new slot, or share access details beyond your authority.

Test with a fresh reader

Ask someone unfamiliar with the task to follow the instructions on a realistic example. Observe where they stop, guess, or need missing information. Revise those points. If the task involves safety-sensitive work, practical training and appropriate professional guidance remain necessary; a written checklist alone is not enough.

Include a completed example when it helps, using fictional or redacted customer information. Keep screenshots current and avoid capturing passwords, payment details, or private access information.

Maintain one current version

Store SOPs in a shared, access-controlled location. Put the task name, owner, and review date at the top. Archive old versions so the team knows which instructions to use. Review after a tool change, recurring error, or change in service policy.

Use a short feedback loop: record the confusing step, agree on a correction, test it, and update the procedure. Link the SOP to the relevant customer onboarding checklist instead of copying the same instructions into several places.
